Key Responsibilities:


1. Reception and Greeting:

  - Welcome and greet visitors in a professional and friendly manner.

  - Answer and direct incoming calls promptly and efficiently.

  - Ensure a neat and organized reception area.


2. Visitor Management:

  - Register and announce visitors.

  - Maintain a log of visitors and provide visitor badges as needed.

  - Escort visitors to appropriate personnel or meeting rooms.


3. Communication Handling:

  - Manage and distribute incoming and outgoing mail and packages.

  - Handle emails and phone calls, redirecting inquiries to the appropriate departments.

  - Maintain a high level of telephone etiquette.


4. Administrative Support:

  - Provide administrative support to various departments as needed.

  - Assist with data entry, filing, and other general administrative tasks.

  - Manage and schedule appointments, meetings, and conference rooms.


5. Information Dissemination:

  - Disseminate information to employees and guests as required.

  - Keep updated records of contact information.


6. Facilities Management:

  - Monitor and maintain office supplies and place orders as necessary.

  - Coordinate with maintenance and housekeeping for office cleanliness and repairs.


7. Security Measures:

  - Enforce security protocols, including the issuance of access cards and monitoring visitor access.

  - Report any suspicious activity or security breaches.


8. Problem Resolution:

  - Address and resolve inquiries or issues from employees or guests courteously and promptly.

  - Collaborate with other departments to address complex problems.


Qualifications and Requirements:


- Any Graduate, or equivalent; additional qualifications in Office Administration or related field is a plus.

- Proven experience as a Front Desk Executive or similar role.

- Proficient in Microsoft Office Suite.

- Strong communication and interpersonal skills.

- Well-organized with excellent multitasking abilities.

- Ability to remain calm and professional under pressure.

- Familiarity with administrative and clerical procedures.
